We offer in-person and virtual consultations in NJ. Led by Dr. Tracy Verrico — a board-certified gynecologist with over two decades of experience — our practice provides personalized, root-cause solutions that empower women at every stage of life.

We’re seeking a part-time Appointment Setter & Sales Professional to join our high-impact, mission-driven team. This role is ideal for someone who is reliable, proactive, detail-oriented , and thrives in a collaborative environment. As the first point of contact, you’ll play a pivotal role in shaping the patient and client experience— setting the tone for the transformative care and empowerment that follows.

What You’ll Do

  • Qualify Inbound Leads Across all Brands - Screen incoming inquiries from phone calls, website forms, Instagram/Facebook DMs, event sign-ups, and emails to determine interest level, fit, and direct them to the appropriate offering (e.g., gynecology services, menopause education, financial programs).
  • Conduct Discovery Calls/ Pre-Consults - Book and lead initial 10–15 minute discovery calls to assess needs, educate potential clients on available services (in-office gynecology, group programs, high-ticket health transformations), and pre-sell the next step.
  • Manage Multi-Channel Appointment Booking - Schedule consultations and appointments using the EMR and CRM systems and calendar tools (for coaching or strategy calls), ensuring proper segmentation of patients vs. course clients.
  • Offer and Upsell Appropriate Programs
    • Match prospects with the right offering, whether it's:
      • 12-month $40k+ Concierge Health Transformation
      • The $2,000 in-person gynecology consultation
      • Office visit with other providers at a different price point
      • Defy Menopause group program
      • What Wealthy Women Know or What Wealthy Doctors Know programs
  • Handle Objections Confidently and With Empathy - Address common objections around price, insurance (out-of-network), time commitment, or confusion around physical vs. financial health offerings, using scripts and FAQs.
  • Follow-Up with Warm Leads & Nurture Cold Leads - Follow PM (Notion) SOP and CRM for those who have shown interest but haven’t booked or purchased. Use email, text, or phone outreach to keep leads engaged and move them toward conversion.
  • Track Sales Metrics & Conversion Data - Use CRM tools to log call outcomes, lead source, objections, and conversion rates for ongoing sales performance analysis and optimization.
  • Engage and Convert Event & Webinar Leads - Contact attendees from lectures, speaking events, webinars, and local events to schedule follow-up consults or enroll them into programs or email sequences.

  • Promote and Drive Traffic to Lead Magnets & Free Resources
    Direct prospects to free checklists, downloads, and quiz funnels as an entry point into the ecosystem and use this data to guide the sales funnel.

  • Support Referral and Testimonial Collection Process
    Identify happy clients/patients for testimonials and referrals. Follow up after services or course completion to ask for survey responses, book testimonial Zooms, and guide them into affiliate or referral roles.

  • Lead Qualification & Segmentation
    Quickly identify if someone is best suited for gynecology care, a group program, or a high-ticket transformation—and route accordingly.

  • Follow-Up Mastery
    Consistently use CRM to follow up with leads using structured touchpoints (calls, emails, texts) to nurture relationships and close sales without being pushy.

  • CRM & Calendar Management
    Use CRM tools (or EMR for patient leads) to organize contacts, track progress, book appointments, and set reminders—staying on top of a complex sales pipeline.

  • Confidence Selling High-Ticket Offers
    Comfortably explain and enroll clients into 4- and 5-figure programs as well as other appointments and programs, articulating the value with conviction.

  • Integrity & Discretion
    Respect client confidentiality and build trust—critical when handling both health and financial conversations.

  • Emotional Intelligence
    Tune into nonverbal cues, adjust tone based on personality type, and know when to lean in or pull back.

  • Script Adherence with Flexibility
    Use provided talking points and objection scripts as a guide—but know when to deviate and personalize for connection.

  • Coachability & Growth Mindset
    Open to feedback, script refinement, role-playing, and continuous improvement in messaging and technique.

Qualifications:

Education & Experience

  • Associate's Degree or equivalent required; college degree preferred (especially in communications, marketing, health sciences, or business)

  • 2+ years of experience in sales, appointment setting, or client services —preferably in healthcare, coaching, wellness, or high-ticket program enrollment

  • Experience working with CRM systems and appointment scheduling platforms (e.g., JaneApp, Acuity, Salesforce, or similar)

  • Background in telehealth, medical office coordination, or patient/client intake is a plus

Communication & Sales Skills

  • Excellent verbal and written communication skills with a friendly, polished, and professional demeanor

  • Proven ability to build rapport quickly over the phone, via email, and in DMs

  • Strong listening skills and ability to handle objections with empathy and authority

  • Confident in presenting high-value services and premium-priced programs

  • Skilled in following scripts while sounding natural and adapting to the flow of conversation

Tech & Organization

  • Comfortable with tech platforms: Zoom, Slack, Google Workspace, EMR or CRM tools, and social media messaging

  • Strong time management and follow-up systems —ability to track leads, prioritize hot prospects, and maintain momentum

  • Familiar with using Notion or project management tools to log activity and track KPIs
